Getting Started as a Group Leader

This feature is available for the following products:

Note: Group Leaders is currently in Beta. Features and behavior may change as development continues.

Group Leaders are Players a club trusts to create and run games for their own private group, such as a weekly morning game or a weekend group. Group Leaders build the group's roster, set up single-round events through a guided setup wizard, and run them from a live results page, while the club keeps full visibility of everything they create. This is the first of five Group Leader articles, and each one ends with a link to the next step in the process. For details on how the club sets up groups and Group Leaders, see Group Leaders (Beta): Setup & Management.

In this article, we will discuss:

  • Accepting a Group Leader Invitation

  • The Group Leader Dashboard

  • The Group Event Process

  • What Group Leaders Can and Cannot Do

Accepting a Group Leader Invitation

Group Leaders are invited by the club's Customer Managers. The invitation email is sent in the club's name and explains what a Group Leader can do, along with the first four steps of running a game:

  1. Create an event

  2. Set up the games

  3. Add players and make pairings

  4. Play and score

The invitation a Group Leader receives depends on whether they are already registered with Golf Genius. Both invitations name the Customer Manager who made them a Group Leader, who is the best contact for questions about the group.

New Golf Genius Users

Group Leaders who are not yet registered with Golf Genius receive an invitation to finish setting up their account and choose a password (as shown below).

To accept the invitation and set up an account, follow these directions:

  1. Open the invitation email from the club.

  2. Click "Finish Setting Up My Account."

  3. Choose a permanent password when prompted.

Once the account is set up, the Group Leader dashboard opens.

Note: If "Finish Setting Up My Account" does not work, navigate to golfgenius.com, click "Sign In," and sign in with the email address the invitation was sent to and the temporary password included in the invitation.

Existing Golf Genius Users

Group Leaders who are already registered with Golf Genius receive an invitation letting them know they are a Group Leader, with a button to sign in with their existing email and password (as shown below).

To accept the invitation, follow these directions:

  1. Open the invitation email from the club.

  2. Click "Sign In to Get Started."

  3. Sign in with the existing Golf Genius email and password.

Once signed in, the Group Leader dashboard opens.

Note: Group Leaders sign in with their email and password like any other Golf Genius user.

The Group Leader Dashboard

Group Leaders work from a simplified Customer Center focused on their groups (as shown below). Each group has its own section listing its events, and opening one section closes the one that was open. A separate Other Events section lists the events the Group Leader plays in or manages outside their groups.

The first time the dashboard opens, a welcome window introduces it and offers to create the first event (as shown below). It appears on every visit until the first event or trip is created, and closing it only hides it for that visit.

Dashboard Actions

The following actions are available at the top of the dashboard:

  • Manage Group: Opens the group's page and roster. This becomes "Manage Groups" when leading more than one group. For details on managing the group roster, Click Here.

  • Create Event / Trip: Creates a new event or trip for the group. For details, Click Here.

  • Clone Event / Trip: Copies an existing event or trip. This stays disabled until the group has an event. For details, Click Here.

Each event in the list offers the following actions (as shown below):

  • Go to Portal: Opens the event portal the way Players see it, including the tee sheet and Leaderboards.

  • Go to Event: Opens the event. Events that have not finished setup open in the setup wizard, and events that have open on the results page.

  • Clone Event: Copies the event to run the same game again. For details on cloning, Click Here.

  • Archive: Moves the event out of the active event list once it is no longer needed. For details on archiving, Click Here.

  • Delete: Deletes the event.

Note: Registration actions are also shown when the club uses them. A user who is also a Customer Manager on the account keeps the full Customer Center instead of the Group Leader dashboard.

The Group Event Process

Every group event follows the same four steps, from creating the event to finalizing the results. Below is a summary of the process:

  1. Create Your Event: Create a new event for your group by giving it a name and a date, or clone an earlier event to run the same game again. For details on creating and cloning events, Click Here.

  2. Set Up Your Games: Choose what the group plays, such as Stroke Play, Stableford, Skins, Nassau Match Play, or a team format, and set the handicap allowance and payouts. For details on setting up games, Click Here.

  3. Add Players and Make Pairings: Add Players from the group roster, earlier events, or the club's Master Roster, then build the tee sheet and choose the course and tees. For details on adding Players and making pairings, Click Here.

  4. Play and Score: Send scoring links so Players can enter scores from their phones, follow the live Leaderboards, and finalize the results when every scorecard is in. For details on running the event, Click Here.

What Group Leaders Can and Cannot Do

Group Leaders work only inside the groups they lead. Group Leaders can:

  • Create groups and rename the groups they lead.

  • Manage the rosters of their groups and send invitations.

  • Create, clone, archive, and delete their groups' events and trips.

  • Set up and run group events, including sending scoring links and finalizing results. For details on running an event, Click Here.

  • Import Players from the Master Roster into their groups and events.

Group Leaders cannot:

  • Add or remove other Group Leaders, or delete a group.

  • Access billing, customer settings, or reporting.

  • Use the Customer Center sidebar navigation, advanced filters, or Quick Event shortcut.

  • Change the category, season, or tour of their events, or archive and delete events outside their groups.

  • Create leagues or other event types.

  • Send other emails or text messages to the field, set up registration, customize the event portal, or add Event Managers on group events. Scoring links are the only messages sent from a group event.

  • Use "Random Scores" or "Clear All Scores."

  • Add, import, or prioritize courses, or edit a course directly. Clicking "Edit" on a course offers "Create" or "Edit Copy."

What's Next

Once the invitation is accepted and the dashboard is familiar, the next step is creating the group's first event, or cloning an earlier one. For details on creating and cloning group events, Click Here.
