Managing Your Group Roster

This feature is available for the following products:

Note: Group Leaders is currently in Beta. Features and behavior may change as development continues.

A group roster is the list of players a group plays with, kept separate from the club's Master Roster. Building the roster ahead of time makes it quick to add the same players to each new game, and lets Group Leaders invite players to Golf Genius so they can keep score from their phones. Group Leaders can manage the roster of each group they lead. Players added in Setting Up a Group Event are added to the group roster automatically, and the roster can be managed at any time. For an overview of the full group event process, see Getting Started as a Group Leader.

In this article, we will discuss:

  • Accessing the Group Roster

  • The Group Roster Dashboard

  • Adding Players

  • Editing a Player

  • Deleting a Player

  • Sending Registration Invitations

  • Downloading the Roster

Accessing the Group Roster

To open the group roster dashboard, follow these directions:

  1. From the Customer Center, click "Manage Group(s)."

  2. On the Manage Groups page, click the blue number in the Members column for the group (as shown below).

The Group Roster Dashboard

The group roster dashboard lists every player on the group's roster, with the following options at the top (as shown below):

  • Search Golfers: Finds a player on the roster by name. The number next to the search box shows how many golfers are on the roster.

  • Events: Shows how many events the group has. Click it to open the group's events in the Customer Center.

  • Register All: Invites every player who has an email and has not finished registering. The number shows how many players will be invited. For details, see Sending Registration Invitations below.

  • Add Golfers: Adds players manually, from the Master Roster, or from a spreadsheet. For details, see Adding Players below.

  • Download Roster: Downloads the roster as a CSV file. For details, see Downloading the Roster below.

Note: While the roster is empty, a Get Started banner at the top of the page explains how to add the first players.

Roster Columns

The roster shows the following details for each player (as shown below).

Click a column heading to sort the roster by that column.

  • Handle: The player's name. Click it to edit the player's details.

  • First Name

  • Last Name

  • Gender

  • Email

  • Handicap ID: Labeled with the name of the club's handicap service, such as GHIN.

  • Handicap Index

  • Status: The player's registration status. For details, see Sending Registration Invitations below.

  • Actions (…): Click the ellipsis at the end of a player's row to "Edit," "Send Invitation," or "Delete."

Adding Players

Players are added from the "Add Golfers" menu, which offers three options (as shown below):

  • Add Manually: Adds a single player by entering their details.

  • Import from Master Roster: Adds players from the club's Master Roster.

  • Import from Spreadsheet: Adds players from an .xls, .xlsx, or .csv file.

Adding a player never sends an invitation on its own, so the roster can be built before anyone is contacted. For details on sending invitations, see Sending Registration Invitations below.

Including the following columns is also recommended:

  • Email: Used to invite players to Golf Genius and send them scoring links.

  • Phone Number: Used to send scoring links by text message.

  • Handicap Service ID: Such as a GHIN number. Lets Handicap Indexes be updated quickly.

Sending Registration Invitations

Every player on the roster has a registration status, which determines whether they can be invited to Golf Genius:

Status

Meaning

Invitation

Registered

Linked to a registered Golf Genius account

Not needed

Invited

Invitation sent, but the player has not set their own password yet

Can be resent

Unregistered

Has an email but was never invited, or the invitation bounced

Can be sent

No Email Provided

No email on file

Not possible

Invitations are only sent with "Send Invitation" or "Register All":

  • Send Invitation: Click the ellipsis at the end of a player's row and click "Send Invitation" to invite that player (as shown below).

  • Register All: Invites every player who has an email and has not finished registering, including players who are still Invited. The button shows how many players it will invite (as shown below).

After sending, a notice confirms that the invitations are being sent and the players' statuses change to Invited. Once an invitation is received and a player registers, the status changes to Registered.
