Club Score Input Terminal Event/League Check-in Payments (BRS Wallet Only)

This feature is available for the following products:

Check-In with Payments allows golfers to pay a mandatory entry fee and optional add-ons directly at the Club Score Input Terminal (CSIT) during the check-in process. This feature is designed for BRS customers where payment is collected at check-in rather than during registration.

In this article, we will discuss how to configure check-in payments and how the check-in payment process works for golfers on the CSIT.

Event Setups

Check-in payments on the CSIT are supported for individual competitions under two event setup scenarios:

  • With Registration: More commonly used for individual member events (players on your master roster) such as a members roll-up or an event using open tee times. Use this option when you do not know who will participate in the competition in advance. Members can register, pay, and check in to post scores directly from the terminal. Note: Guests/Visitors can be added to individual events by importing them from WHS.

  • Without Registration: More commonly used for team and individual events with guests (players not on your master roster). Use this option when you know who will be participating in the competition ahead of time, whether the roster was built manually in Golf Genius, pulled in via integration with club management software (e.g., BRS, Lightspeed, etc.), or pairings and tee times were created in advance. Players will not need to register at the terminal before checking in and paying. Note: When using this method, you can also create pairings and tee times if needed.

Check-In Payments Setup

To configure check-in payments, follow these directions:

  1. Navigate to Event/League > Registration & Check-In Payments.

  2. Select the Payment Type "Check-In"(as shown below).


    Notes:

    1. If Registration is Enabled: If registration is enabled for the event, you will see two payment type options, Registration and Check-In. Select Check-In to display the check-in payment configuration form.

    2. If Registration is Not Enabled: If registration is not enabled, the check-in payment configuration form will be displayed automatically.

  3. Mandatory Charge: Enter the following details for the mandatory charge:

    1. Name: Enter the name of the mandatory charge.

    2. Flat Fee: Enter the amount in the currency configured in the Event Profile.

    3. Description: Enter any additional information about the charge.

  4. Click "Create Option" to apply the mandatory charge details (as shown below).

  5. Click "Save" to apply the settings.

  6. Add-ons (Optional): To add an optional add-on, click New Add-On and enter the following details (as shown below):

    1. Name: Enter the name of the add-on.

    2. Flat Fee: Enter the amount in the currency configured in the Event Profile.

    3. Reporting Field: Select an optional custom field to be set to Yes for this event for any golfers who purchase this add-on.

    4. Description: Enter any additional information about the add-on.

  7. Click "Create Add-On" to apply the add-on option.

  8. Repeat steps 6 and 7 to add more options (as shown below).

  9. Click "Save" to apply the settings.

Note: The mandatory charge and add-ons can be edited at any time by clicking Edit. Add-ons are optional and do not need to be configured or deleted if not needed.

Golfer Check-In Payment Process

Identity Confirmation

If a golfer logs in to the Club Score Input Terminal using their last name, they will be prompted to confirm their identity before proceeding to the payment page. To confirm their identity, they must enter the last 4 digits of their CDH Number (as shown below).

Note: Golfers who log in via CDH Number or Email & Password will bypass the identity confirmation step.

Check-In Payments Page

After identity confirmation, the golfer will be directed to the check-in payments page. The page contains three components (as shown below):

  • BRS Wallet Balance: Displays the golfer's current BRS Wallet balance. A Refresh Balance button is available if the golfer needs to top up their wallet before completing check-in.

  • Entry Fee and Add-Ons: Displays the mandatory entry fee details and the list of available add-ons. Golfers can select the add-ons they wish to purchase using the checkboxes.

  • Your Selection: Displays the mandatory entry fee, any selected add-ons, and the total amount due. The Check In button is located here.

Completing Check-In

After reviewing the total amount due, the golfer clicks Check In. The following steps are performed in order:

  1. The total amount is debited from the golfer's BRS Wallet.

  2. Check-in is completed and a score intent is created.

  3. If the golfer was not already on the tee sheet, they are added.

Note: If the payment fails due to an external service issue, check-in will not be completed and an error message will be displayed.

Insufficient Funds

If a golfer does not have sufficient funds in their BRS Wallet to cover the total amount due, a warning will be displayed and the Check In button will be disabled. The golfer will need to top up their wallet using the BRS app and then click Refresh Balance before proceeding (as shown below).

Manager Account After Check-In

After a successful check-in with payment, the following will be reflected on the admin side:

  • The Total Quantity and Total Revenue on the Registration & Check-In Payments page will be updated to reflect the completed transaction.

  • A new invoice entry will be created for the golfer with the Registration Type set to Check-In.

  • If the golfer was not previously registered to the event, they will be added to the event roster.

Refunds

Refunds for check-in payments can be initiated in two ways:

By the Manager:

  1. Navigate to Event/League > Payment Center.

  2. Locate the golfer's invoice entry.

  3. Click Refund (as shown below).

By the Golfer:

The golfer can initiate a refund by cancelling their check-in through the CSIT (as shown below).


Following a refund, the invoice entry will display a status of Refunded.
