Note: If this feature is not enabled for your account, it must be enabled before you can access it. To have this feature enabled, contact your Golf Genius Account Manager or the support team.
If you manage a large number of recurring events or leagues each season, you can clone multiple events and leagues at the same time using a cloning session. Each session allows you to select up to 10 events, leagues, trips, etc., configure cloning options, and track the cloning process from a centralized dashboard.
In this article, we will discuss how to clone multiple events/leagues and create and manage cloning sessions. If you are only cloning one event, Click Here.
Accessing the Cloning Dashboard
To access the Clone Multiple Events & Leagues dashboard, navigate to Customer Center > Season Management > Clone Multiple Events & Leagues (as shown below).
If no cloning sessions have been created yet, you will be redirected directly to Step 1 of the session creation wizard. Once at least one session exists, you will be taken to the Sessions dashboard instead.
The Sessions dashboard lists all cloning sessions that have been created, displaying each session's name, date, number of events or leagues included, and current status. Sessions can have one of three statuses:
Completed: The cloning session has finished, and all events or leagues have been successfully cloned.
In Progress: The cloning session is currently running.
Draft: The session was saved before being finalized and can be continued at any time.
You can click on the name of any cloning session. When clicking on a cloning session, you will be taken to one of the following, depending on the status of the session:
In-Progress/Completed: You will be taken to the Cloning Progress Tracker.
Draft: You will be taken to the Cloning Session, which will be completed as outlined below in the Creating a Cloning Session section.
Creating a Cloning Session
To create a new cloning session, follow these directions:
Navigate to Customer Center > Season Management > Clone Multiple Events & Leagues. Note: If no cloning sessions have been created yet, you will be redirected directly to Step 1 of the session creation wizard and can skip Step 2 below.
Click Create a New Session from the Sessions dashboard (as shown below).
You will be taken to the First Step of the cloning process.
In Step 1, take the following actions:
In the Filter Area near the top you have the following options to filter your existing events/leagues:
Type: Filter by the type. The available types are:
All
Event
League
Trip
Drive Chip and Putt (DCP)
Season: Filter by the selected season.
Category: Filter by the selected customer center category.
Tour (Select Customers Only): Filter by the selected tour.
Search Bar: Search by name to find the events and leagues you want to clone (as shown below).
Check the box next to each event or league you want to include in the session. Selected items will appear in the Selected panel on the right. A counter in the top right of the Selected panel tracks how many events have been selected out of the maximum allowed (as shown below).
Notes:A maximum of 10 events or leagues can be included in a single session. Once the limit is reached, all remaining unselected items will be grayed out and cannot be selected.
Use the Select All link above the event list to select all events on the current page. Selections are retained when navigating between pages.
To remove an item from the selection, click the red remove icon in the Selected panel or uncheck it in the Available to Clone panel. To remove all selections at once, click Remove All.
Click Continue to proceed to Step 2.
In Step 2, take the following actions:
Click Continue to proceed to Step 3. Note: If you click Continue in Step 2 without renaming all events, a confirmation dialog will appear. You can either go back and edit the names or confirm and proceed with the original names.
In Step 3, take the following actions:
Season: Select a Season from the dropdown where the events should be added. If you do not utilize season, select "No Season." Note: The season must be selected before proceeding (as shown below).
Select the components to clone by checking the relevant checkboxes (as shown below). Note: Not all cloning configuration options will be visible for every session. Each option is only displayed if at least one selected event contains that component.
The following options are available:Managers: Clone the event/league managers assigned to the event/league.
Player Roster: It is unlikely you will want to clone the player roster because the same players will not be playing. Since this is not common, this option is unchecked by defaut.
Logos and Banners: Clone the logos and banners from the original event or league. Note: If unchecked, the default Logo and Banner will be cloned from the customer Center.
Member Portal: The portal set up for the orginal event or league can be cloned over. This can be a big time-saver if the portal includes a lot of information. Note: If unchecked, the Default Portal will be cloned from the Customer Center.
Registration Form: Clone the registration form if open registration is enabled.
Tournaments: If you have any tournaments created from the event/league being cloned, the exact setup can be carried over into the new event/league. Note: Cloning tournaments requires cloning Division / Flights / Teams, Rounds, and Multi-Round Series.
Tournament Library: Clone the existing tournament library. Tournament libraries are typically used only in leagues with many rounds and varied play formats.
Golf Hub Page: If you created a Golf Hub Page for the event, you can copy those details to the new event.
Event Divisions/Flights/Teams: If the event being cloned has any divisions, flights, or teams lists, they can also be cloned. Keep in mind that these divisions, flights, and team lists will be empty until you place players in them. For details on recreating team lists, Click Here.
Rounds and Series: Clone the rounds and series. If the same number of rounds are going to be created, select this option. Note: If selected, Step 4 will be required to configure round dates.
Payment Gateway: If you have added unique payment gateways.
Registration Payment Options: If you are taking registration with payments, you may have previously set payment options. Those can be included in the new event/league. Note: Cloning registration payment options requires cloning the Registration Form.
Golf Hub Page: Clone the Golf Hub Page if one has been created.
Click one of the following options:
Finish: If Rounds and Series was not selected, click Finish to finalize the session and begin the cloning process. Skip the next steps that outline the options in Step 4.
Continue: Click Continue to proceed to Step 4.
In Step 4, take the following actions:
In the Filter Area near the top you have the following options to filter the selected events/leagues:
After filtering, if necessary, In the left panel, click an event or league name to select it and configure its round dates. The right panel will display a dual-month calendar view with pre-selected round dates based on the original event dates (as shown below). Note: Events with no rounds will not be available to select.
Click dates on the calendar to assign rounds. Clicking the same date more than once will add multiple rounds on that date. To remove a round date, click the remove icon on the individual chip (below the calendar), or click Clear All to remove all selected dates for that event (as shown below).
Repeat the prior two steps for each event or league being cloned.
Click Finish to finalize the session and begin the cloning process. Note: The Finish button will be disabled if round dates are missing for at least one event.
After clicking finish, the Cloning Progress Tracker pop-up will be displayed (as shown below).
Notes:
Each cloned event will be placed in the same category as the original event it was cloned from.
At any point during the wizard, you can click Save as Draft to save your progress and return to the Sessions dashboard.
You can navigate back to a previous step using the Back button.
Cloning Progress Tracker
After clicking Finish, the cloning process begins, and you will be redirected to the Sessions dashboard, where the cloning progress pop-up will open automatically.
The pop-up displays the session name, a progress bar, and a summary showing the total number of events, how many have been completed, how many are in progress, and how many are scheduled.
Each event in the session is listed with its name and an individual status (as shown below). Once an event reaches a Completed status, its name becomes a clickable link that opens the event dashboard in a new tab.
Once all events have been cloned successfully, the progress bar turns green and the session status updates to Completed (as shown below).
Note: You can search for a specific event within the progress popup using the search box.
Continuing a Draft Session
To continue a Draft session, click the session name on the Sessions dashboard. You will be returned to the furthest step you had reached in the wizard, allowing you to pick up where you left off.
